Administrative Assistant
Contract Employee (1099- you will be responsible for paying your own taxes)
Rate of Pay: $15.00/hr
Hour per week: 8 hours
Qualifications
-Minimum of high school diploma or equivalent
-1 to 2 years of office experience preferred
-Ability to confidently use computer (using Microsoft Office, Word, Publisher,
PowerPoint, etc.), create/maintain social media accounts/pages and use other related office equipment (printers, copiers, projectors, etc.)
-Ability to communicate effectively both orally and in writing.
-Ability to deal effectively with the public.
-Ability to work well with the lead pastor, church council, various committees, and church
volunteers.
-Additionally must maintain confidentiality, and work well with deadlines. Skills and
ability in prioritization and ability to work independently
-Must be a trustworthy individual who maintains high standards of integrity, and
demonstrates growing relationship with Christ.
-Willingness to learn church policies and procedures.
Reports to
-Lead pastor & administrative council.
-Primarily responsible to lead pastor and will work closely with members of the
administrative council.
Physical Requirements
-Move objects, up to 10 lbs
-Ability to sit, stand, go up and down stairs
-Physical dexterity for typing, computer use
Job Duties
Serve as a first point of contact for inquiries at the church; welcoming, cheerful, Christlike and
able to direct questions to appropriate leader.
Calendars – coordinate the overall calendar and schedule of VEFC. Maintain digital calendars
for VEFC as well as paper calendars for the library, update the kitchen calendar and monthly
handout calendars.
Announcements – track and prioritize a schedule of announcements, keeping track of upcoming announcements and schedule when they should begin being presented to the congregation and which announcements receive primary attention.
Bulletins – production of weekly bulletin with inserts. Digital preparation, printing folding place in control room.
Update bulletin boards – new items, promotions, signup sheets and seasonal information.
Maintain and publish our church member/attender list.
Church directory – updating and publishing.
Worship Tools Directory – Updating the member list along with groups for messaging. gloo.com
maintain our texting list.
Track birthdays, knowing which birthdays occur on Sundays.
Tracking supplies for the general church use and office use. Make sure baptism certificates,
membership certificates and offering envelopes are supplied. Also toilet paper supplies and
meal supplies (plates, cutlery, etc.)
Retrieval and sort of incoming mail.
Church Mailboxes – maintain, update and periodically clean out.
Ability to post needed announcements on various social media primarily Facebook and
Instagram.
Ability to update church website as needed, in particular announcements, images and text.
Produce flyers, posters and slides as needed for promotions at VEFC.
Music Folders – Loading and unloading – Keeping the music cabinet up to date. Creating new
folders when new music is introduced.
Copies of packet for congregational meeting and admin council meetings.
Serve as a contact and resource for those who call with questions about the church and events.
Convey phone messages to the pastor in a timely manner.
Coordinate requests for reservations of Valleyview Facilities.
Ability to schedule appointments for people to meet with the pastor.
Ability to use or learn to use software such as: Google Calendars, Apple Calendars, Microsoft
office, Apple organization apps and Google drive apps. Facebook, Instagram, Calendly,
Worshiptools.com , instant church directory, gloo.com, WordPress, other software as needed.
Required attendance at annual church calendar planning meeting.
